About the role

We are seeking a sharp, highly organized, and proactive Bilingual Legal Virtual Assistant to join our team and act as a crucial support pillar for our pre-litigation pipeline to join a fast-growing, California-based Personal Injury law firm dedicated to fighting for accident victims across the state. Our client pride themselves on fast execution, meticulous file organization, and providing exceptional customer service to our clients.
In this role, you will be responsible for the operational side of our personal injury files, specifically driving the intake process and managing medical records retrieval.This is a high-volume, fast-paced role that requires daily communication with Spanish and English-speaking clients, medical providers, and insurance adjusters.You are not expected to make legal arguments or negotiate settlements; your primary goal is to ensure case files are accurate, complete, and moving forward efficiently.
Requirements
Key Responsibilities:
Opening Claims & Intake: Handle new client onboarding, collect crucial accident data (police reports, photos, insurance information), and file initial claims with auto insurance carriers.
Medical Records Retrieval: Proactively request, follow up on, and organize medical records, billing statements, and lien balances from healthcare providers.
Bilingual Communication: Serve as a key point of contact for clients, answering questions and providing regular case updates in both English and fluent Spanish (via phone, text, and email).
Insurance Correspondence: Daily communication with insurance adjusters to verify policy limits, obtain claim numbers, and track claim status.
File Management: Meticulously update and maintain electronic case files within our cloud-based case management software.
Required Qualifications (Non-Negotiable):
Experience: A minimum of 2+ years of direct experience supporting a U.S. or California-based personal injury law firm in a virtual or remote capacity.
Language Fluency: Native or near-native fluency in written and spoken Spanish, alongside excellent professional English grammar and verbal skills.
California PI Protocols: A solid understanding of the California personal injury lifecycle, including experience dealing with HIPAA authorizations, medical provider liens, and auto insurance claim processes.
Schedule Flexibility: Ability to work standard business hours fully aligned with the U.S. Pacific Time Zone (PT).
Tech-Savvy: High comfort level utilizing legal case management systems (e.g., Filevine, Clio, Litify), VOIP phone systems (e.g., RingCentral), and standard office software.
Workspace: A dedicated, quiet home office setup with a high-speed, reliable internet connection.
