Job Role: Executive Assistant
Compensation range: $1,200 AUD - $1,700 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.
Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.
Who The Client Is: Our client is a growing construction services company specializing in high-quality carpentry and project delivery for commercial developments. Working closely with builders and project stakeholders, the business is known for providing dependable workmanship, responsive service, and practical solutions tailored to each project's requirements.
Role Overview: This full-time Virtual Assistant role provides dedicated support across three Australian construction and labour hire businesses. The position is split roughly evenly between finance and accounting administration and general operational/admin support, keeping the finance function tidy and the state managers unblocked. The ideal candidate is highly organised, detail-oriented and tech-savvy, with a genuine interest in using AI tools to work faster.
Key Responsibilities:
Finance & Accounting
Run and support weekly payroll across the three entities, meeting Australian payroll deadlines accurately and on time.
Collect, chase and reconcile site timesheets/daycards each week, and prepare and issue client invoices in Xero.
Own accounts-receivable follow-up: proactively chase outstanding debtors and keep AR ageing under control (a key priority for the group).
Assist with bank reconciliations, month-end tasks and keeping financial records accurate in Xero.
Manage insurance administration across all three entities — renewals, certificates of currency, and claims paperwork.
Administration & Operations
Assist the Director with his calendar, emails and administrative work.
Track and renew group compliance and licences (e.g. labour-hire licences, insurances, registrations) so nothing lapses.
Support worker onboarding and inductions, and keep subcontractor and supplier documentation and compliance records up to date.
Coordinate immigration/sponsorship paperwork and related staff documentation where required.
Handle recurring ordering and logistics — uniforms/PPE, tools and general office/site supplies.
Manage inbox, calendar and document-filing support for the MD and state managers, and coordinate meetings and travel.
Take on ad hoc admin projects and continuously look for ways to streamline workflows, including with AI tools like Claude.
Requirements
Required Skills and Qualifications:
Previous experience in finance, accounting or bookkeeping, ideally with Xero.
Strong written English, able to correspond professionally with staff, clients and suppliers — including chasing debtors directly.
Highly organised and reliable, able to own repetitive but critical processes and juggle competing priorities across three businesses with minimal supervision.
Comfortable with Microsoft Office and cloud-based business systems.
Genuine interest in AI tools and a willingness to build them into daily workflows.
Nice-to-Have:
Hands-on experience using Claude or similar AI platforms.
Experience supporting Australian businesses, including payroll, GST and superannuation.
Knowledge of Australian award pay rates and employment standards.
Work Arrangement & Expectations:
This is a remote role that will be set up as an independent contractor engagement.
