About the role

We are seeking an experienced Virtual Medical Receptionist / Referral Coordinator to join our growing healthcare team. This is a fast-paced, patient-facing position requiring excellent communication, strong organizational skills, and previous experience supporting U.S. medical practices.
The ideal candidate will be responsible for managing a high volume of inbound and outbound patient calls, coordinating referrals, scheduling appointments, verifying insurance eligibility, and ensuring patients receive timely follow-up throughout the scheduling process.
Experience with eClinicalWorks (eCW) is highly preferred.
Key Responsibilities

Answer and manage high-volume inbound and outbound patient calls.

Contact new referrals within 24–48 hours of receipt.

Schedule new patient appointments while meeting scheduling goals.

Confirm, reschedule, and cancel appointments as needed.

Verify insurance eligibility and benefits before appointments.

Manage referral workflows and ensure timely patient outreach.

Coordinate scheduling based on insurance requirements, including authorization timelines.

Maintain accurate patient documentation within eClinicalWorks (eCW).

Provide outstanding customer service while maintaining HIPAA compliance.

Collaborate with providers and office staff to optimize scheduling and patient flow.

Success Metrics

Contact all new referrals within 24–48 hours.

Schedule 30+ new patients per month from approximately 40–50 monthly referrals.

Verify insurance eligibility accurately and in a timely manner.

Maintain excellent patient satisfaction through responsive communication and efficient scheduling.

Requirements
Qualifications

Minimum 2 years of experience as a Virtual Medical Receptionist, Medical Scheduler, or Patient Coordinator supporting U.S. healthcare practices.

Previous experience using eClinicalWorks (eCW) is strongly preferred.

Experience verifying insurance eligibility and understanding PPO and HMO plans.

Strong knowledge of referral management and appointment scheduling.

Excellent English communication skills (Spanish is a plus).

Ability to multitask in a fast-paced, high-volume environment.

Strong attention to detail and organizational skills.

Comfortable handling patient interactions with professionalism and empathy.

Benefits
Please note that this is a full-time contractor position (40 hours per week) with a negotiable pay rate depending on skillset and experience. The schedule is Monday through Friday, from 8 AM to 5 PM CST.
