Program Outreach Coordinator

The Program Outreach Coordinator supports the successful delivery of energy efficiency and customer engagement programs through communications, event coordination, stakeholder outreach, and program administration. This role serves as a key liaison among internal program teams, trade allies, subcontractors, utility clients, and external stakeholders, ensuring timely communications, effective event execution, and accurate program information management.
The coordinator is responsible for managing email marketing campaigns, newsletters, stakeholder distribution lists, outreach events, trade ally communications, and program reporting activities. In addition, the role supports cross-functional teams through project coordination, meeting facilitation, CRM data management, and administrative support, helping to drive program participation and stakeholder engagement across multiple initiatives. This position plays a critical role in maintaining strong relationships with program partners while supporting the overall goals and objectives of the organization’s outreach and energy efficiency programs.

What you will be doing:

Manage and distribute stakeholder communications through Mailchimp, including newsletters, program announcements, event invitations, and trade ally resources.

Help coordinate the production and distribution of the Energy Matters newsletter through content curation, layout and formatting, review cycles, publication, communications, and survey administration.

Plan and support program events by managing communications, registration, attendee tracking, surveys, and event logistics.

Maintain stakeholder, trade ally, subcontractor, and event distribution lists, calendars, outreach trackers, and program documentation.

Coordinate outreach and engagement activities with subcontractors, communicating effectively across program teams, marketing, and the client to ensure seamless execution of program outreach.

Manage the end-to-end client badging process, including coordinating background checks, reviewing, and validating badge documentation, obtaining required approvals, submitting materials to clients, and maintaining accurate status tracking to ensure timely employee onboarding and project access.

Support program operations through meeting coordination, note-taking, action item tracking, SharePoint and Microsoft Planner maintenance, and cross-functional communication.

Manage event and outreach reporting activities, including registration analysis, survey results, attendance tracking, and post-event assessments.

Support CRM and data management initiatives by organizing program data, coordinating updates, and assisting with reporting and process improvements.

Contribute to annual outreach planning, stakeholder engagement strategies, standard operating procedures, and continuous improvement initiatives.

What we need you to have (minimum qualifications):

Bachelor's degree in Communications, Marketing, Public Relations, Business Administration, Event Management, Environmental Studies, or a related field.

1+ years of professional experience supporting communications, outreach, marketing, event coordination, customer engagement, program administration, or a related function.

2+ years of professional experience supporting communications, outreach, marketing, event coordination, customer engagement, program administration, or a related function.

Experience supporting energy efficiency, utility, customer engagement, or outreach programs is preferred.

Strong written and verbal communication skills.

Strong organizational skills and attention to detail.

Experience coordinating events, meetings, or stakeholder engagement activities.

Ability to coordinate multiple projects and stakeholders simultaneously.

Experience managing databases, CRM systems, or reporting tools.

Experience with email marketing platforms such as Mailchimp.

Compensation: Although the posted range below is broader, this position is anticipated to offer a base salary in the $60,000–$65,000 range.

The pay range for this position based on full-time employment is:
