About the role

We're looking for a Construction Administrative Assistant to provide essential support to project managers, general contractors, and office staff at a fast-moving construction and property services firm operating across Texas and Arizona. You will be the operational backbone of the office — managing documents, coordinating with vendors and subcontractors, communicating with clients, and keeping projects organized and on track from an administrative standpoint.
This role has a hard language requirement. You must be fully fluent in both English and Spanish, written and spoken. A significant portion of vendor, subcontractor, and client communication happens in Spanish and there is no workaround for this. If you are highly organized, bilingual, experienced in construction or property management administration, and thrive in a fast-paced environment where priorities shift quickly, this role is a strong fit.

What You'll Work On
Project and Document Management

Prepare and manage construction-related documents including change orders, purchase orders, and service agreements

Maintain accurate project logs, records, and filing systems across active projects

Track project-related financial documentation and assist with invoicing and bookkeeping

Ensure all documentation is organized, current, and accessible to the project team at all times

Vendor and Subcontractor Coordination

Serve as a primary point of contact for vendors and subcontractors in both English and Spanish

Solicit quotes, process bids, and coordinate with external parties to keep projects moving

Follow up on open items and ensure vendor and subcontractor commitments are tracked and honored

Client Communication

Maintain open and professional communication with clients and customers in both English and Spanish

Provide project updates, address concerns, and ensure a consistently positive client experience

Draft and send professional correspondence and emails to internal and external contacts

General Office and Administrative Support

Provide administrative and clerical support to project managers and office staff

Handle data entry, scheduling, calendar management, and office supply ordering

Assist with dispatching and coordination for property management-related workflows

Perform additional administrative tasks and special projects as assigned

What You Bring

Full professional fluency in both English and Spanish, written and spoken — this is a non-negotiable requirement

Proven experience as an Administrative Assistant, preferably in construction, property management, or a related industry

Experience working with property management companies and supporting dispatch or coordination workflows

Proficiency in Google Workspace including Gmail, Docs, Sheets, Calendar, and Chat

Strong written and verbal communication skills across both languages

Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously

Self-starter who can work independently with minimal supervision in a fully remote environment

Available Monday through Friday on US Central Time business hours with flexibility for occasional Saturdays when project deadlines require it

Reliable high-speed internet connection and a private, quiet workspace suitable for video conferencing

Nice to Have

Proficiency in Microsoft Office 365 including Word, Excel, and OneDrive

Experience with construction management tools such as JobTread or CompanyCam

Familiarity with Wix or similar website platforms

Background supporting construction projects in Texas, Arizona, or similar markets

Relevant professional certifications in administration, project coordination, or construction management
