Job Description:

Job Duck is seeking a highly organized and professional Virtual Receptionist to serve as the first point of contact for clients, vendors, suppliers, and other external stakeholders. In this role, you will play a key part in ensuring seamless communication, maintaining organized schedules, and supporting daily administrative operations. You will help create positive client experiences by managing inquiries, coordinating appointments, and keeping important information flowing efficiently across the organization. The ideal candidate enjoys interacting with people, thrives in a fast-paced environment, and can confidently balance multiple priorities while maintaining a polished and approachable demeanor. The role is perfect for someone who is dependable, detail-oriented, and committed to delivering exceptional service.
• Compensation Range: $1,015 – $1,100 USD/month

Responsibilities include, but are not limited to:
Help ensure a positive and professional client experience at every interaction
Coordinate information between internal and external parties
Prepare and distribute meeting agendas and relevant materials
Assist with planning and coordinating events and related logistics
Schedule appointments, meetings, and calls while ensuring all parties are informed
Manage email communications, including organizing inboxes and drafting responses
Serve as the primary point of contact for incoming and outgoing communications
Maintain accurate records and communication logs
Route calls and requests to the appropriate department or team member
Respond to client, prospect, vendor, and stakeholder inquiries
Arrange travel accommodations and reservations when required
Maintain and organize calendars with reminders and event categorization
Answer and direct phone calls professionally and efficiently
Support administrative functions and assist with operational tasks
Conduct follow-up communications with clients, team members, and event attendees
Requirements:

• Remote position

• Experience handling high-volume phone and email communications preferred

• Strong verbal and written English communication skills required

• Ability to manage calendars, appointments, and schedules efficiently

• Comfortable coordinating with clients, vendors, team members, and external stakeholders

• Experience supporting administrative and operational functions

• Proficiency with common business software and communication platforms

• Must be highly organized and capable of managing multiple tasks simultaneously

• Strong attention to detail and ability to maintain accurate records
