About the role

Contracts & Invoicing Coordinator, Creator & Partnerships
Hours: 40 hours/week
Hourly Rate: $75
Duration: 11/16/26-12/31/26 for the initial contract with the intent to continue on through 2027
Overview
We’re looking for a Contracts & Invoicing Coordinator to support the Creator & Partnerships team. This role sits at the intersection of contracts, negotiation, and finance, managing the full lifecycle of creator agreements from drafting through payment setup. You’ll serve as the frontline point of contact with talent managers, agents, and entertainment lawyers, so strong negotiation instincts and sharp attention to detail are essential.
Responsibilities

Populate and issue Master Services Agreements (MSAs), Statements of Work (SOWs), and Non-Disclosure Agreements (NDAs) using company-approved contract templates

Serve as the frontline negotiator with talent managers, agents, and entertainment lawyers on common contract pushbacks (e.g., shortening usage terms, lowering revision limits, removing exclusivity, or adjusting payment terms)

Track redlines and communicate effectively across Creator and Legal teams

Audit external materials (briefs, contracts, and outreach) to minimize errors in contract agreements

Collaborate with the team to ensure deadlines are met

Ensure every agreement includes strict requirements to adhere to FTC disclosure guidelines (e.g., prominent #ad, #sponsored, or platform-native “Paid Partnership” labels placed above the fold and in video text overlays)

Collect tax documentation (e.g., W-9/W-8BEN), invoice details, and banking information, liaising with internal finance for timely payment schedules

** AI-optimized resumes and screening responses will not be considered**

3+ years of experience in contracts coordination, talent/business affairs, or a similar legal-adjacent role, ideally within entertainment, media, or influencer/creator marketing

Working knowledge of MSAs, SOWs, and NDAs, including the ability to identify and negotiate common contract terms (usage rights, exclusivity, revision limits, payment terms)

Comfortable negotiating directly with talent managers, agents, and entertainment lawyers, with a professional but firm communication style

Familiarity with FTC endorsement guidelines and disclosure requirements for sponsored content

Experience handling vendor/contractor tax documentation (W-9/W-8BEN) and basic invoicing or AP processes

Highly detail-oriented, with strong proofreading and auditing skills across contracts and outreach materials

Organized and deadline-driven, able to manage multiple active agreements and stakeholders at once

Strong cross-functional communicator, comfortable looping between Creator, Legal, and Finance teams

Proficiency with contract management or e-signature tools (e.g., DocuSign, Ironclad, PandaDoc) a plus
