This role exists because our client needs a strategic partner — not just a task-taker — to take full ownership of their administrative, communication, and travel operations so they can focus on higher-value work. The client is looking to close a specific gap: someone who combines polished, confident communication (including running sales and customer calls) with genuine, hands-on fluency in AI tools and automation, plus specialized expertise in travel hacking and concierge-level trip planning. Ultimately, this hire should reduce the client's day-to-day operational load while proactively finding smarter, faster ways to get things done using AI.
The Impact you’ll make
Communication Client-Facing Support
Handle inbound and outbound customer/sales calls with confidence and professionalism
Represent the client persuasively and accurately in calls and written communication
Manage day-to-day correspondence, ensuring nothing falls through the cracks
Executive Administrative Support
Manage email and calendar via Google Workspace, prioritizing and organizing proactively
Take ownership of recurring admin tasks without needing step-by-step direction
Anticipate the client's needs and act ahead of requests
Research, Prospecting Growth Support
Conduct business and company research to support decision-making
Build and maintain prospect/lead lists
Run email campaigns through Mixmax and support pipeline tracking (HubSpot a plus)
Manage and grow social media presence across LinkedIn, X/Twitter, and Instagram
AI Automation Workflow Optimization
Build and maintain AI-powered agents/workflows (using tools such as ChatGPT, Claude, Codex, Grok, etc.) to streamline recurring tasks
Identify opportunities across admin, research, and communication workflows where AI can save time or improve output
Continuously bring new AI tools/techniques to the role rather than relying on static processes
Travel Planning Concierge Services
Plan complex travel itineraries, leveraging points, rewards, and travel-hacking strategies to maximize value
Handle end-to-end travel arrangements and troubleshoot changes proactively
Act as a trusted travel concierge, anticipating preferences and constraints
Skills, Knowledge and Expertise
Required:
Proven experience building or using AI agents/workflows with tools such as ChatGPT, Claude, Codex, Grok, or similar
Knowledge in travel concierge planning (points, rewards, complex
Executive/administrative support background, including Google Workspace email and calendar management

Hands-on AI agent/workflow building (not just casual chatbot use)
Google Workspace mastery (Gmail, Calendar, Docs, Sheets)

What to expect...Work Setup:
Remote position
Must have a reliable internet connection and a quiet workspace

Working Hours:
20 hours per week
Monday to Friday 9:00am - 1:00pm MST
