About the Opportunity
Latino Legends is excited to partner with a fast-growing U.S. real estate development and property firm to find a driven Construction Assistant to join their team.
Our client specializes in residential rehabs and new home construction. They are looking for an exceptionally organized, self-directed individual who can own administrative and operational workflows remotely, keep external contractors accountable, and ensure projects move from start to finish without delay.
Position Summary
As the Construction Assistant, you will serve as the operational backbone for active rehab and new build projects. You will manage vendor bidding, permit applications, inspection tracking, contractor compliance, and documentation. This role requires high-volume communicationβ€”including extended periods of phone outreachβ€”and meticulous record-keeping to keep projects on schedule and within scope.
Core Responsibilities

Rehab Project Coordination:

Source and obtain 2–3 competitive bids per project.

Collaborate with the Construction Manager to draft detailed Scopes of Work (SOWs) for Requests for Proposals (RFPs).

Collect and verify contractor documentation, including licenses, Certificates of Insurance (COI), and W-9s.

Administer agreements, handle scope sign-offs, and request vendor invoices.

Organize and maintain all project files in Google Drive and Coda.

New Home Construction Support:

Input and update new build data within Rent Manager.

Verify installer COIs and W-9s, request invoices, and finalize contract signatures.

Apply for required installation, electrical, plumbing, mechanical, and building permits.

Track permit approvals, coordinate on-site inspections, and secure Certificates of Occupancy (CO).

Confirm completed job milestones and archive all invoices and Manufacturer Certificates of Origin (MCOs).

Contractor Oversight & Administrative Tracking:

Conduct persistent phone outreach to confirm job timelines and keep field contractors accountable.

Maintain meticulous records to ensure no documentation or compliance step falls through the cracks.

Keep project leads proactively updated on project milestones and potential bottlenecks.

Ideal Candidate Profile & Qualifications

Experience: 1–2+ years of administrative, operations, or project coordination experience. Prior exposure to construction, real estate, or property management is a plus, but character and work ethic matter most.

Mindset & Grit: Resolute, proactive, and solutions-oriented with the stamina to handle back-to-back phone calls and follow-ups.

Communication: Exceptional written and spoken English skills with strong interpersonal instincts and professional composure.

Organization: High level of autonomy with proven ability to manage complex file systems, schedules, and compliance steps without needing constant reminders.

Tech Proficiency: Comfortable working with cloud tools such as Google Drive, Coda, and property management software (experience with Rent Manager is a bonus).
