About the role

Looking for Philippines-based candidates
Job Role: Executive Assistant
Compensation range: $1,500 AUD - $2,500 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM AEST, Queensland Time, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.
Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.
Who The Client Is: A growing lifestyle-focused business based on the Gold Coast, with a focus on personal well-being and helping people live better lives. Now entering its sixth year, the business is expanding into new markets and ventures, creating opportunities for continued growth across multiple business operations.
Role Overview: As an Executive Assistant, you will own -day, keep him across everything that matters, and turn incoming requests into clear plans ready for his approval. You will work alongside the admin team in each business, coordinating with them so every moving part stays on track.
This role suits a proactive, confident EA who thinks ahead, makes the first move, and brings solutions ready to go.
Key Responsibilities:

Inbox management: Own the founder’s email across all businesses. Action what you can, flag what needs his input, and brief him on key information so nothing slips through.

Calendar & scheduling: Keep the calendar accurate and current, book meetings, and give timely reminders on what is coming up each day and week.

Plan, then present: Take incoming requests and ideas, build a clear plan of action (options A, B and C), and bring it to the founder for a quick approve or adjust.

Execution & follow-through: Once a plan is approved, brief the relevant team members, get the ball rolling and see it through to completion.

Calls & liaison: Make calls on the founder’s behalf to suppliers, partners, clients and the admin team in each business.

Voice-note capture: Pick up the founder’s voice notes and messages (including weekends) and have them organised and actioned by the start of the working week.

Travel & logistics: Book domestic and international travel, including flights, accommodation and itineraries.

Task tracking: Run your own system for tasks, deadlines and follow-ups across all businesses, keeping everything visible and on schedule.

Requirements
Required Skills and Qualifications:

2–3+ years’ experience as an Executive Assistant, ideally supporting a founder, CEO or business owner.

Experience supporting someone across multiple businesses or a fast-paced, varied workload.

Highly proactive: you anticipate needs and come prepared with recommendations.

Excellent written and spoken English, confident on the phone with Australian clients and suppliers.

Strong in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).

Experienced with task and project management tools, and comfortable building your own systems.

Discreet and trustworthy with confidential information.

Calm, organised and decisive under pressure.

Nice to Have:

Experience booking international travel.

Familiarity with WhatsApp, voice notes and other async communication tools.

Exposure to Australian business practices and time zones.

What Success Looks Like:
Within your first 90 days, the founder is fully across every business with his inbox in your hands, his calendar runs like clockwork, and he spends his time approving well-built plans. The admin teams have one clear point of coordination, and the founder has more time to focus on growth.
Work Arrangement & Expectations:
This is a remote role that will be set up as an independent contractor engagement.
To ensure alignment and transparency, successful candidates will be expected to:

Disclose any existing ongoing roles or client work

Reflect this engagement on their LinkedIn profile (clearly marked as “Independent Contractor”)
